What to include in a job offer letter

The core terms, up front

Job title, employment type, annual salary and start date belong in a short block near the top. A candidate deciding between offers reads for these first, so do not bury them in prose.

Who they report to and where

Name the manager and state the work location, whether remote, office or hybrid. It sets expectations before day one and signals that the process is organised.

Conditions and a way to accept

Reference the full employment agreement, note any checks the offer depends on, and give a clear line to sign and return. That turns a warm note into a document both sides can act on.

What should a job offer letter include?

A job offer letter should include the job title, employment type, start date, annual salary, the manager or signatory the person reports to, and the work location. It should also reference the full employment agreement and any conditions such as reference or right to work checks, and give the candidate a clear way to accept.

Is an offer letter legally binding?

An offer letter can create a binding agreement once the candidate accepts, especially if it states the core terms such as salary and start date. Many companies mark the offer as conditional on checks and point to a separate employment contract for the full terms. Have your own legal counsel review any template before you send it.

How do you write a simple offer letter?

Start with a warm line confirming the role, then list the key terms in a short block: title, employment type, salary, start date, manager and location.
